Privacy Policy

This Privacy Policy explains how formeasure handles personal data. formeasure is an employee-feedback and talent-assessment platform — surveys, 360° feedback, ongoing feedback, analytics, sociometry, gamification and skills testing for organisations.

1. Who we are

The Service is operated by ТОО «Recrutoman», registered at A05H1M3, Republic of Kazakhstan, Almaty, Masanchi Avenue 104, office 17 (Business ID No. 200240035239). For the purposes of this policy, the operator is the data controller for the personal data described in Section 3(a) — visitors and direct customers. For employee data processed on behalf of customer organisations, see Section 2.

2. Two different roles — please read this first

formeasure processes personal data in two distinct capacities, and your rights differ depending on which applies:

  • As a controller — when we handle data about website visitors, people who contact us, and the administrators or representatives of organisations that buy or trial the Service. We decide why and how this data is used.
  • As a processor (on behalf of our customers) — when an employer or organisation (the Customer) uses formeasure to run surveys, assessments or feedback about its own employees, candidates or contractors. In this case the Customer is the controller and decides what data is collected and why; we only process it under the Customer's instructions.

3. What data we collect

Data we collect as a controller:

  • Account and contact data for administrators and customer representatives: name, work email, phone, organisation name, role, and password (stored hashed).
  • Communications: messages you send us, demo or trial requests, and support correspondence.
  • Usage and device data: IP address, browser type, pages visited, and similar analytics collected via cookies (see Section 8).

Data we process on behalf of Customers (as a processor):

  • Employee or participant profile data the Customer uploads: name, work email, job title, department, manager, location, employment dates and similar HR attributes.
  • Survey, assessment, feedback and test responses, including engagement, eNPS, pulse, 360°, sociometry and skills tests. Campaigns the Customer marks as anonymous are handled so individual responses are not attributed to a named person in results.
  • Gamification data (points, achievements, rewards) and files uploaded by Customers or participants.

We do not intentionally collect special-category data (health, religion, etc.). Customers are responsible for not entering such data into free-text fields without a lawful basis.

4. Why we use it and our legal basis

We use personal data to provide and operate the Service (contract; legitimate interests), to authenticate users and secure accounts (legitimate interests; contract), to respond to demo requests and support (legitimate interests; pre-contract steps), to run surveys and produce analytics (on the Customer's lawful basis, as processor), to improve the platform (legitimate interests), to comply with legal obligations, and to send service and — where permitted — marketing emails (consent and/or legitimate interests).

5. Anonymity in surveys

When a Customer marks a campaign as anonymous, the Service is designed so individual responses are not shown attributed to a named respondent in reports, and results below a minimum response threshold are aggregated to reduce re-identification risk. Anonymity is a setting the Customer chooses; we cannot guarantee anonymity for campaigns run in identified mode.

6. Who we share data with

We do not sell personal data. We share it only with service providers that help us run the platform, under confidentiality and data-processing terms: Amazon Web Services (application hosting and file storage, EU/Frankfurt by default); our database hosting (PostgreSQL); OpenAI (AI-assisted content generation, where the Customer uses that feature); Google (optional calendar and single sign-on, where enabled); our email delivery provider; and web-analytics tools (Google Analytics, Yandex Metrica) on our public marketing pages only. We may also disclose data where required by law or in connection with a business transfer.

7. International transfers

Data is hosted in the European Union (Germany) by default. Where data is transferred outside your country, we rely on appropriate safeguards such as standard contractual clauses and the providers' own compliance frameworks.

8. Cookies and analytics

Our public website uses cookies for essential functionality and, on marketing pages, for analytics (Google Analytics, Yandex Metrica). You can control cookies through your browser settings. The authenticated application uses only the cookies and local storage necessary to keep you logged in and operate the Service.

9. How long we keep data

Controller data (accounts, enquiries) is kept while your relationship with us is active and for a reasonable period afterward for legal and operational reasons. Processor data (employee or participant data) is kept while the Customer's subscription is active and as instructed by the Customer; on termination we delete or return it within a reasonable period, subject to legal retention requirements.

10. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, restrict or object to processing of your personal data, and to data portability. For data we hold as a controller, contact admin@formeasure.com. For data processed on behalf of your employer, contact your employer first (see Section 2). You also have the right to lodge a complaint with your local data-protection authority.

11. Security

We use industry-standard measures including encryption in transit, hashed passwords, access controls, multi-tenant data isolation, and hosting with a reputable cloud provider. No system is perfectly secure, but we work to protect your data and to notify affected parties of significant breaches as required by law.

12. Children

The Service is for workplace use and is not directed at children under 16. We do not knowingly collect data from children.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version here with a revised date and, for material changes, notify Customers.
